Context

A 320-store retail chain with 4,200 staff. Promotion policies and return rules changed almost weekly, distributed as documents over email and chat groups.

The challenge

Staff could not reliably find the current version, so they called head office instead. The head-office operations team spent most of its time answering questions already covered in writing.

What BigAI delivered

BigAI Assistant was loaded with the full internal document library and connected to the policy publishing system so it updates automatically when a new document is issued. Staff reach it through the messaging app they already use daily — no new application to install.

Every answer carries the document name and its effective date, so staff can verify it and avoid applying an expired policy.
